The Hilliard Davidson Athletic Boosters awarded eight $500 scholarships to selected senior student athletes on Friday, May 11, 2012.  The recipients are (from left to right):  Caroline Hildebrand, Susan Anderson, Alison Newton, Sara Kassicieh, Chris Martin, Bryce Lewald, Chase Delande, and John Vo.
Congratulations to these outstanding student athletes!  As supporters of the Davidson athletic programs, we admire your achievements.

I.              Meeting called to order at 7:04 p.m. by President Pam Moore.

$4,394.68 was made at the recent OCC track meet, which represents an increase of over $600 from last year.  Final numbers for the Ford Drive One 4 UR School should arrive soon, but approximately 65-70 people went through.  The boosters will earn $20 for each person.
$500 is still needed to pay for the new mascot.  A few teams are still considering making a contribution.  Perhaps we should approach a few teams and even the Hilliard Music Boosters in order to secure the remaining $500.
IV.           President’s Report –presented by Pam Moore
Upcoming Events:
June Athletic Booster meeting – meet at the football stadium and help carry remaining concession items to the school.
July 4th Parade – all athletes are encouraged to participate.  Simply wear Davidson attire, arrive before the event, and look for the cheerleaders (we walk behind them).
Annual Garage Sale – Pam believes Kathleen Chrysler is the chair again this year.
Annual Membership Drive – Ann Mascotti-Bowman and Heidi Smith are chairing.  It will be held on August 7, 2012, at 6:00 p.m.  Suggestions:  order magnets to pass out, encourage coach and parent supervision, give each group a script to follow, and perhaps even create an “incentive” for each group or team. 
New officers for the 2012-2013 year were voted in (all were unanimous):
      Laura Barnett and Pam Moore, Co-Presidents.

Concession Report:
The athletic boosters have one more spring event to cover on May 15.  Spring sales were low, especially at baseball/softball games.  The average for baseball/softball was around $30.  Is this worth all of our effort?  Should we serve a more limited menu instead?  It was suggested that we use the Boostermobile to cart concession items around from field to field (since fans at the baseball fields do not always know the concession stand is open).
Team reps are reminded to encourage players to help cover concession assignments, not just parents.
One of the popcorn machines was recently repaired.  Pam is sending another popcorn machine in for repair/quote.
Pam inquired about the restroom situation at the OCC track meet.  Feedback was more positive than previous events.  Volunteers are needed at big events such as this, to monitor cleanliness.  A date to paint needs to be scheduled over the summer. 
Team reps are reminded to forward Mark Princehorn’s Friday blurb out to all team members each week.  Coaches provide the information to Mark, so encourage your coach to send updates to Mark to be included.

V.            Vice President’s Report – no report (Deb absent)

VI.           Athletic Director’s Report – presented by Mark Princehorn
It is budget time.  Mark received requests from two coaches.  The football team would like to purchase a mobility shoot for approximately $2,000 and the boys cross country team together with the boys track team would like to purchase an easy-up tent for approximately $1,600.  Motion to approve items, as requested:  Joe Kenny; second by:  Jenny Newton.  Approved unanimously.
Mark needs a date for the Garage Sale, so it can get on the calendar before school is out.  The Garage Sale will be on August 10 and August 11, 2012.
Nate King has been hired as the girls cross country coach.  Nate is a Davidson graduate and is currently teaching at Tharp.  A female assistant coach will be hired shortly.
The physical night has not been scheduled.  There is a change to the physical form this year.  Parents will soon be able to complete the athletic forms on-line.
The spring sports recognition night will be on Monday, June 4, at 6:30 p.m.  The boys volleyball team will have their event on May 31 and the softball team on June 7.
VII.         Old Business
Tina announced the winners of the 2011-2012 Athletic Boosters Scholarships:  Susan Anderson, Chase Delande, Caroline Hildebrand, Sara Kassicieh, Bryce Lewald, Chris Martin, Alison Newton, and John Vo.  Pam and Tina made the presentations at the Senior Scholarship Breakfast on Friday, May11, 2012.  Tina is submitting a picture to the local newspaper.

The secretary will maintain a collection of greeting cards (thank you, sympathy, thinking of you, etc.) and have them at booster meetings.  That way, the membership can sign and send a card when needed.
VIII.        New Business
It was suggested to build an “equipment” fund into our budget, for purchases of cheese machines, popcorn machines, roasters, etc.

IV.           President’s Report –presented by Pam Moore
The Wildcat Premier track meet was on March 31.  Laura Barnett coordinated volunteers.  Overall, the event went very well.  There were issues with the grills that we use and Laura will talk to the Touchdown Club so they can be resolved prior to the OCC track meet.  Approximately 480 hot dogs, 160 brats, 160 hamburgers, and 50 gallons of hot chocolate were served.  However, we ran out of soft pretzels, blew some fuses, and didn’t have the same number of hot dog buns as we did hot dogs.
There were problems with the restrooms at the Wildcat Premier again this year.  Due to the large number of athletes and spectators, there were issues with cleanliness, overflowing, etc.  This seems to be an ongoing concern, even though Laura Barnett, Ann Mascotti-Bowman, and Heidi Smith spent time disinfecting and cleaning up throughout the day. It was suggested that the Boosters paint the restrooms over the summer, in addition to the away concession stand (may be done by a student for an Eagle Scout project).
We had volleyball concessions of $374.00 (gross), thanks to the Sheely’s staffing on March 24 for a tournament.
Davidson will be hosting the OCC track meets on May 10 and May 12.  These are all-hands-on-deck events, so mark the dates on your calendar and be prepared to volunteer in concessions (and find volunteers on your teams to help too).
Upcoming spring concession assignments were reviewed.  Please provide Pam with the name and contact information from your team.  And, notify Pam if you cannot find workers.  Be sure to check the athletic website for weather cancellations and re-schedules.  Ellen Kincade will be opening for track meets and either Deb or Pam will be opening for other events.
V.            Vice President’s Report – presented by Deb Princehorn
No report.

VI.           Athletic Director’s Report – presented by Mark Princehorn
On May 12, Jim Keim Drive One will be in the parking lot, with donations going back to the Boosters.  We will need volunteers to assist with this event.
VII.         Old Business
The scholarship committee will be meeting tonight and then interviewing selected students on April 17.  Twenty-four applications were received this year. 
Pam spoke with Officer Burkitt recently.  The mascot is in the design phase.  Half of the money must be paid when the order is placed.  The total cost is approximately $3,500.  The mascot falls under cheerleading/Coach Cooper.
Jim Cline is still looking into the cost to rent the white and blue flags from the boy’s lacrosse team.
VIII.        New Business
We will be electing officers for next year at our next meeting.  Interested candidates should notify Pam Moore.

2012 Spring Concession Dates


HILLIARD DAVIDSON HIGH SCHOOL

ATHLETIC BOOSTER CONCESSION DATES
SPRING 2012

1.      Most report times are one-half to one hour prior to the beginning of the contest. 

2.      For regular events plan on at least four (4) workers, except for baseball/softball have two (2).  For larger events have at least six (6) workers per shift (UNLESS NOTED).

3.   For weeknight lacrosse games in the stadium, coverage needs to be from 5:00 p.m. until approximately 9:00 p.m.  For boy’s games, need six (6) workers per shift.  For girl’s games, need at least four (4) workers per shift.  Saturday games also require a four-hour shift for concessions.

4.      For track events in the stadium, coverage needs to be from 5:00 p.m. until approximately 8:30.  However, since the meets start at 5:00, it would be ideal if a few workers could arrive around 4:30 since many spectators arrive before the event.  Need six (6) workers per shift.

5.      For softball/baseball games in the stadium visitor side concession stand, the shift is 5:00 p.m.-7:00 p.m. for weeknight games.  Need two (2) workers.  Please make note of Saturday games, as many are double or triple-headers.  Pay attention to the start time of the last game so you can plan coverage accordingly.

6.      Please e-mail (pmoore@cons-inc.com) or text Pam Moore (614)975-9370 the name and cell phone number of the person from your team who is the point of contact for a particular event.

7.      CANCELLATIONS/POSTPONEMENTS occur frequently in the spring.  On the day of the event, you can find out about changes by doing the following:

b.      Call the Wildcat Sports Information Line at (614)921-7979 for schedule updates.

c.       Call or text Pam Moore at (614)975-9370, as she has asked Mark to provide her with updates.

d.      If an event is cancelled/postponed, you are responsible for finding workers for the make-up date.

8.      If you are unable to find enough workers, notify Pam Moore (pmoore@cons-inc.com) or Tina Kauffman (randytinak@hotmail.com) and we will send out an e-mail message to all of the boosters.

A FEW REMINDERS FOR CONCESSION VOLUNTEERS


The Hilliard Davidson Athletic Boosters strives to maintain a profitable concession program to benefit all athletic teams.  We ask each team to share in the responsibilities of working concessions. 
1.    Volunteers need to arrive approximately one-half to one hour before the scheduled event.  See schedule for report times.
2.   Volunteers are to remain at the concession stand until clean-up is complete.
3.   If you are volunteering in the concession stand, you do not need to pay admission to the event.
4.   Volunteers must be 12 or older.  At least one adult must attend to the cash box at all times.
5.   Operation instructions can be found on or near the equipment.  Please follow instructions for set-up and clean-up.
6.   Please do not handle food and money at the same time.  Use gloves when handling any unwrapped food items.
7.   We ask that workers are conscientious of the products we sell, minimize waste, and do not hand out free concessions to friends or others at the event.
8.   In case of emergency, please contact:

These guidelines have been developed to help the booster club in successfully managing the concession stand and to assure the focus is on bringing in money to benefit student athletes at Hilliard Davidson High School.
